The IRC’s Emergency Preparedness and Response Unit
The IRC’s Emergency Preparedness and Response Unit (EPRU) leads or oversees IRCs global emergency preparedness and response activities. The mission of the EPRU is to help meet the immediate survival needs and reduce suffering in conflict or disaster affected populations during the acute phase of an emergency. The EPRU also works in protracted emergencies, where the risk to life may be reduced but the population is still subjected to rights abuses and a lack of basic services.
The EPRU is also charged with enhancing the IRCs global and country level emergency preparedness capacity. We do this by supporting the development and training of Country Emergency Teams, assisting in the development of emergency focused partnerships with local civil society organizations, maintaining regional and global capacity to rapidly identify and deploy qualified emergency response personnel and supporting country-level contingency planning.
SCOPE OF WORK
The EPRU Program Assistant will undertake administrative duties to assure the smooth running of the unit, working in collaboration with other HQ based EPRU staff and the field based Emergency Response Team. The EPRU Program Assistant will report to the EPRU Deputy Director of Emergency Systems.
RESPONSIBILITIES
General Administration
- Support to Director and DDs - schedule management, meeting call set up, meeting room set up, travel booking, TER processing, equipment management & repair
- Arrange travel, hotels for NY guests
- Manage EPRU assets/equipment
- Procure and manage equipment and supplies
- Schedule and set up EPRU meetings and events at HQ (non-strategy-related)
- Assist with putting on annual EPRU meeting.
- Cover duties of Deployment Manager, EPRU Manager when either is absent.
Financial
Process all advance requests, liquidations, travel expense reconciliations (TER), invoices, reimbursements for department personnel
- Onboarding & Exit Procedures
- IT/OS set-up form
- Orientation hosting
- Orientation scheduling
- Pre-Orientation logistics - hotel, flights, etc.
- Securing and assigning Priority Pass and visibility materials
- Setting up official staff files
- Equipment procurement and set-up (phone, computer, business cards, etc.) for new staff
- Exit paperwork and procedures for departing and transferring staff.

REQUIREMENTS
- University degree
- Attention to detail
- Customer service attitude
- Fluency in all standard PC office software such as Word, Outlook, Excel
- Excellent interpersonal and oral and written communication skills; demonstrated ability to successfully work in a fast paced environment, within and across departments/functions and develop positive relationships with local and remote staff
- Excellent oral and written communications skills (English) required
